REMOTE TACHOGRAPH FILE DOWNLOAD FOR VANS

INTRO


On European roads, we encounter not only heavy‑duty trucks, but also a vast number of light commercial vehicles that support daily logistics and service operations. Previously exempt from tachograph regulations, van fleet operators face a new compliance challenge, as the work and rest time of van drivers engaged in international transportation gets strictly regulated. Teltonika offers a solution that provides remote access to tachograph data together with secure and reliable data storage.


CHALLENGE


Starting from 1 July 2026, light commercial vehicles over 2.5 tonnes used in international operations fall under tachograph obligations as stipulated by the EU regulation. This change brings many 3.5‑tonne van operators into a truck‑like compliance model that requires structured monitoring of driver activity.


Fleet managers must document driving time, breaks, rest periods, and other work activities rather than focus only on routes or delivery timelines. The rules are strict: drivers may drive up to 9 hours per day and must take a 45‑minute break after 4.5 hours of driving. Weekly limits also apply, including a maximum of 56 driving hours per week and 90 hours across two consecutive weeks. As a result, dispatch planning must be aligned with legal limits from the outset.


Ensuring compliance also depends on downloading tachograph and driver card data at regular intervals. This is challenging for fleets that do not follow predictable depot routines. International 3.5‑tonne vans are often used in express logistics, where vehicles can be dispatched within hours of an order and then travel directly from sender to receiver without returning to a base. With irregular depot visits, manual tachograph file downloads become difficult to carry out, increasing the likelihood of missed deadlines.


Once downloaded, tachograph records must be stored securely for at least 12 months and protected against unauthorised access or manipulation. Fleets need a reliable archive, clearly defined access rules, and the ability to retrieve specific files quickly for checks or audits. Without such a system, operators face a higher risk of missing files, data integrity concerns, or delays when producing records on request. SOLUTION



A manual tachograph download workflow requires data to be retrieved directly from the vehicle using a download key when the van returns to a depot. The files must then be uploaded manually into a compliance system for storage and analysis. However, such a process is time-consuming. To stay compliant without slowing down operations, international van fleets need automated tachograph file collection, proactive alerts for missing downloads, and centralised visibility across vehicles and drivers operating across borders. This is particularly valuable in industries where vans do not follow predictable depot routines or where driver changes are frequent. How it works – tachograph‑dedicated firmware enables FMC150 tracking devices to download driver card data and vehicle unit data remotely via the tachograph’s rear panel interface. In addition to file collection, our devices provide live tachograph I/O data, allowing fleet operators to monitor driver activity status in real time. This functionality allows vans over 2.5 tonnes to comply with driving and rest time regulations in a cost-effective way. Teltonika’s FMC150 device is a time‑proven tracker with an integrated CAN chip to read vehicle data without additional adapters. It provides more than 100 vehicle parameters, including EV‑specific ones, which become essential as electric vans gain traction in Europe. With two CAN interfaces, the device enables simultaneous tachograph file downloading and vehicle performance (fuel level, odometer, speed, engine status, and more) monitoring – supporting both compliance workflows and better fleet control.


The second component is software that automates downloads and keeps compliance processes running smoothly. There are two ways to approach this. Solution providers can integrate remote tachograph file management and storage directly into their own server. In such a case, Teltonika team will provide a dedicated communication protocol that allows systems to request and receive tachograph files from FMC150 devices, making tachograph data downloads, management, and analysis a native part of existing platforms.


Alternatively, operators can use Teltonika’s TachoSync for faster implementation without development work. TachoSync is a ready‑to‑use SaaS application designed specifically for our devices that support tachographs. After initial configuration, FMC150 tracker periodically connects to TachoSync to verify whether a user‑defined download schedule is assigned to the device and then requests tachograph files after authorisation with a company card. This ensures consistent data collection even when vans do not return to a depot regularly. Files are stored securely in the cloud or forwarded via API to third‑party systems such as fleet platforms or tachograph analysis tools.


With the combination of FMC150 and TachoSync, automated workflows come in place, letting fleet managers smoothly collect and securely store tachograph data, remain inspection‑ready, and reduce the risk of violations and fines caused by missing downloads or incomplete records.
